Temporary user QR code authentication enables warehouse personnel to log into Anchanto WMS using a printed physical badge paired with a secure 6-digit Personal Identification Number (PIN). It streamlines high-volume shift check-ins across desktop workstations and handheld devices while maintaining encrypted access controls tailored for seasonal or temporary warehouse staff
Prerequisites:
User Roles & Permissions: System Administrator or Manager privileges are required to configure system settings, create temporary user profiles, and issue QR badges.
Tenant Configurations:
Go to Tenant Configuration → Other → Verify Enable User QR Code is switched ON.
Go to Company/Tenant Settings → Verify Temporary Member Creation is switched ON.
User Profile Class: Target accounts must have User Type = Temporary assigned during creation. Permanent accounts cannot utilize QR login authentication.
Hardware Setup:
Desktop Workstation: A USB barcode scanner set up at the workstation (configured in standard keyboard emulation mode, requiring no extra software).
Mobile Workstation: A handheld Personal Digital Assistant (PDA) scanner running the native Anchanto WMS app.
Provisioning a QR Badge (Admin Workflow)
Go to User Management → Click Create User → Select User Type = Temporary and assign a username → The temporary user account is created in the system.
Go to User Management → Users List → Click [Target Temporary User] → The user profile details page opens.
Go to User Profile Details → Click Generate QR Code → The PIN setup modal opens.
Go to PIN Setup Modal → Enter a [6-digit PIN] for the worker → Click Save → The PIN is stored in encrypted format and saved securely. (Note: The PIN cannot be viewed or retrieved later; record this code or configure it together with the worker.)
Go to QR Badge Print Preview → Click Print QR Code → Select layout [A4 paper or Zebra label 4x1.5 format] → Click Print → The physical QR code badge is generated for printing.
Hand the printed physical QR badge to the temporary worker and communicate their assigned 6-digit PIN separately.
Monthly Renewal (Every 30 Days): Re-issue expiring badges by opening the user profile and clicking Generate QR Code → The system generates a new QR code while maintaining the existing PIN unless updated. (Note: QR badges expire automatically 30 days after generation. Regenerating a badge retains the worker's existing PIN unless a new one is manually set, requiring only a new printout. To update only the PIN later, click Set PIN—the printed badge remains valid.)
Authenticating on Web Browser (Desktop Workstation)
Go to Anchanto WMS Web Login Page → Click Login with QR tab → The QR authentication interface opens with PIN and QR fields.
Go to PIN Input Field → Type [6-Digit PIN] → The 6-digit PIN is entered into the authentication form.
Go to QR Code Input Field → Scan [Printed QR Badge] using the workstation USB scanner → The scanner automatically populates the code field and submits the login form to land on the main dashboard. (Note: If the USB scanner is not set to auto-submit, click Login manually after scanning.)
Authenticating on Mobile App (Handheld PDA)
Go to Anchanto WMS Mobile App → Tap QR Login → The mobile scanner view opens.
Go to App Scanner View → Scan [Printed QR Badge] using the handheld device scanner engine → The scanned QR token is registered in the application.
Go to PIN Field → Enter [6-Digit PIN] → Tap Login → The system authenticates the combined credentials and opens the mobile workspace. (Note: Both the QR scan and PIN are submitted together for authentication; neither credential can be used alone.)
| If the system shows this error | Follow these steps to fix it |
| Confirm that the target account is set to a Temporary User and that the Enable User QR Code configuration is turned ON in tenant settings. Permanent users cannot use QR badges and must sign in with standard username/password credentials. |

Good to Know & Security Details
Badge Expiry Lifecycle: Badges are valid for 30 days from the precise time of generation. Plan routine monthly re-prints for ongoing temporary staff.
Data Security: The printed QR badge contains an encrypted alphanumeric token only—no personal names, user IDs, or unencrypted passwords can be extracted by reading the code.
Lost Badges: A lost badge cannot be used without knowing the associated 6-digit PIN. However, admins should immediately regenerate a new badge upon loss, as generating a new code instantly invalidates the old one.
Single Active Token: Each user retains exactly one active QR badge at a time. Generating a new badge revokes all previous iterations.
Cross-Platform Compatibility: The same physical QR badge operates identically across desktop browser setups and handheld PDA devices without requiring separate provisioning.
