Managing Centralised Buyer and Supplier Records in Address Book Operations Anchanto Operations Experience Management (OXM)

Overview

Address Book provides a permanent, searchable directory in the Anchanto Operations Experience Management (OXM) Portal to streamline manual order creation and inbound replenishment. It automatically captures and deduplicates buyer consignee details and supplier addresses across all manual entries, channel syncs, and connected WMS/OMS integration events. By centralising address management, users eliminate repetitive manual typing, minimize delivery failures caused by formatting inconsistencies, and accelerate peak-season order processing.

Prerequisites:

• Access to the Anchanto Operations Experience Management (OXM) Address Book is isolated per seller account and is unavailable on the Admin or 3PL Portal.
• Proper user role permissions to view and manage Settings > Address Book, Orders, and Inbound modules.  
• For API integrations: API credentials configured to access the Open API address endpoints (create, retrieve, update, soft delete).  
• Note: EMEA accounts automatically handle GDPR compliance with buyer PII encrypted at rest on EU infrastructure.  

Step-by-Step Instructions

Opening the Address Book Directory

1. Go to Customer/Seller Portal → Click Settings > Address Book → The main Address Book view opens displaying summary cards (Total Buyer Addresses, Total Supplier Addresses, Duplicates Resolved) and paginated tables of saved records.

Adding a New Address Record Manually

1. Go to Settings > Address Book → Click + Add Address → The "ADD NEW ADDRESS" side modal opens from the right.

2. Go to ADD NEW ADDRESS Modal → Click/Action [First Name, Last Name, Company, Address Line 1, Address Line 2, Country, State/Province, City, Postal Code, Phone, Email, Address Label] → Fields adjust dynamically per country (e.g., state/province fields adapt and postal code becomes optional for regions like UAE or Hong Kong). The system saves the record to the table. If a similar record already exists, a side-by-side comparison window opens asking to update the existing record or save as a new one.

Searching and Filtering Address Records

1. Go to Settings > Address Book → Go to Search Bar → Click/Action Type [Name, City, or Postal Code] → The address table dynamically filters to display matching entries.

Using Quick-Select During Inbound Creation (PO / ASN)

1. Go to Inbound → Click Create PO (or Create ASN) → The "CREATE NEW INBOUND" creation form appears.

2. Go to Supplier Field → Click Select from Address Book → A drawer opens listing saved Supplier/Vendor addresses.

3. Go to Supplier Address List → Click [Target Supplier Record] → The supplier details automatically populate the inbound form fields.

Using Quick-Select During Order Creation

1. Go to Orders → Click Create Order → The offline order creation form opens.

2. Go to Consignee Address / Shipping Address Section → Click Select from Address Book → The "SELECT FROM ADDRESS BOOK" drawer slides out from the right, displaying saved Buyer addresses sorted by most recently used.

3. Go to SELECT FROM ADDRESS BOOK Drawer → Click/Action Search or Select [Target Buyer Address] → The selected buyer address details (First Name, Last Name, Contact Number, Address Lines, State, City, Country, Postal Code) automatically populate the Shipping Address fields.

4. Go to Shipping Address Section → Click/Action [Review / Override Any Auto-Filled Field] → Fields remain fully editable for manual adjustments prior to order confirmation.
