Order Filtration Rules let you set conditions for orders you don't want processed in OMS, such as orders with certain SKUs, from certain postal codes, or above a certain order value. When an incoming order matches an Active rule, OMS filters it out before creating it, so it never enters your normal fulfillment flow. You can review each filtered order, and the rule that applied, in the Filtered Out view for 30 days.
Step-by-Step Instructions
Open Order Filtration
- Go to OMS → Click Order Filtration → The Order Filtration module opens.
Create a Rule
- Go to Order Filtration → Click Create Rule → The Create New Rule form opens.
- Go to Conditions (If) → Click Attribute and choose the criterion to filter orders by → The selected criterion is applied to the condition. The criteria you can choose from are:
- SKU
- Postal Code
- Shipping Address
- Order Value
- Fulfillment Location / Warehouse
- Category, where applicable
- Go to Operator → Click the condition you need, then enter the value in Select Value → The condition is defined. For example, to filter orders that contain specific SKUs:
SKU → In-List → SKU001, SKU002, SKU003For In-List and Not In-List, you can enter several values separated by commas. All other operators accept a single value.
Create or Save the Rule
You can either create the rule or save it as a draft:
- Go to the Create New Rule form → Click Create Rule → The rule is created and takes effect from its configured Start Date and Time.
- Go to the Create New Rule form → Click Save as Draft → The rule is saved but not applied to incoming orders.
If you create a rule with a future Start Date and Time, it goes into Upcoming status. It becomes Active automatically when that date and time arrive.
Understand Rule Statuses
Each rule has one of the following statuses:
| Status | Meaning |
|---|---|
| Draft | The rule is being prepared and is not active. |
| Upcoming | The rule has been created, but its start date and time are in the future. |
| Active | The rule is currently being applied to incoming orders. |
| Paused | The rule is temporarily stopped. |
| Archived | The rule is no longer in use and can't be activated again. |
You can only edit rules in Draft status.
Review Filtered Orders
- Go to Order Filtration → Click Filtered Out → Orders that matched an Active rule are listed, with the rule that applied to each.
Filtered orders stay available for 30 days and are then removed automatically.
Example: How a Rule Works in Practice
Suppose you create a rule to filter orders containing SKU ABC123.
- When an order matches: A new order containing ABC123 is received. OMS checks it, finds that it matches the Active rule, and filters it out.
Order received → Rule matched → Order filtered out → Order does not appear in OMS Orders
You can review this order under Filtered Out. - When an order doesn't match: An order that matches no Active rule continues as normal.
Order received → No rule matched → Order created in OMS → Normal order processing
Important Notes & Limitations
- Only Active rules affect incoming orders. Draft, Upcoming, Paused and Archived rules don't block orders until they become Active.
- Filtered orders aren't normal OMS orders. A filtered order is not created in the OMS Order module and doesn't appear in the normal Order list.
- Only Draft rules can be changed. Once a rule is Active, Paused or Archived, it can't be edited.
- Archived rules can't be reactivated.
- Future rules activate automatically. A rule with a future start date and time moves to Upcoming and becomes Active automatically at its configured start time.
- Filtered orders are kept for 30 days. After 30 days, the filtered order record is removed automatically.
